QuickBooks Online setup for Charleston small businesses

A QuickBooks file set up right on day one saves you a paid cleanup later. Most of the messes I rebuild started with a rushed setup: a generic chart of accounts, missing bank feeds, and opening balances typed in from memory. Setup is a few days of careful work, and here is what it covers.

A chart of accounts built for your business

Your chart of accounts is the list every transaction lands in. QuickBooks ships with a generic one. I trim it and rebuild it around how your business actually runs, so a contractor sees job materials and subcontractors, and a restaurant sees food cost and labor, instead of eighty accounts nobody uses. A short, specific chart is what makes your profit and loss readable.

Bank feeds on every account

I connect every business bank account and credit card to the bank feed so transactions flow in automatically. Then I set the bank rules that categorize the recurring ones. Rules are what keep the books current instead of piling up, and they are the part most self-setups skip.

Opening balances that are provably right

Opening balances are where most do-it-yourself setups go wrong. I enter the starting balance for every account as of a defined date and tie each one to a bank statement, so the books start from a number you can verify rather than a guess. Everything after that reconciles cleanly.

What you have at the end

A QuickBooks Online file with a chart of accounts that fits your business, live bank feeds on every account, correct opening balances, and rules doing the repetitive work. You can run it yourself from there, or hand me the monthly work. If your existing file is already months behind, setup usually pairs with a catch-up, and both get quoted as one flat number before anything starts.
